Administrative AssistantPRIMARY FUNCTION: The Administrative Assistant is responsible for the administrative duties at the Flagship Club/Administrative Office and will serve as the first impression to members, parents, and visitors. This includes greeting all guests, answering phone calls, and assisting with any questions regarding the organization and Club programming. Performs a variety of clerical duties, including answering telephones, word processing, office machine operation, and filing. Must be cooperative, and friendly and create a safe environment; as well as abide by and support the mission, to enable all young people to reach their full potential as caring, productive, and responsible citizens. KEY ROLES (Essential Job Responsibilities): Administrative Opening the office & classrooms each day (Updated forms for sign-in) Maintain the upkeep, safety, security, and appearance of the reception desk. Monitor and track all visitors, volunteers, and any other guests who enter the building. Answer all phone calls and transfer or take messages for appropriate personnel. Maintain the front desk area daily and report supplies needed to the supervisor. Provide quality customer service and answer questions regarding the organization, Club programs, fees, policies, etc. Opens and routes incoming mail, answers correspondence, and prepares outgoing mail. Manages relationships with vendors for office machines, such as photocopiers and scanners, voice mail systems, and personal computers. Troubleshoots problems involving office equipment. Types, formats, proofreads, and edits correspondence, reports, and other documents for the CEO. Assist management staff in preparing confidential employment and labor relations documents and maintain financial files. Review employee files, records, and other documents to obtain information to respond to requests. Work effectively and maintain good working relationships with co-workers, school personnel, administrators, members parents and supervisor. ADDITIONAL RESPONSIBILITIES: May be required to drive Club vehicle periodically. May handle deposits and banking transactions. Other duties as assigned RELATIONSHIPS: Internal: Maintain close, daily contact with Program staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct, and counsel. External: Maintain contact with external community groups, schools, members’ parents, and others to assist in resolving problems/issues. SKILLS/KNOWLEDGE REQUIRED: Pass a pre-employment background check. Strong knowledge of Microsoft products such as Microsoft Word, Excel, PowerPoint, SharePoint, etc. Knowledge of the mission & objectives of Boys & Girls Clubs. Strong communication skills, both oral and written. Ability to complete tasks by deadline Ability to manage multiple tasks simultaneously with very little supervision. Valid State Driver’s License PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: High energy level; comfortable performing multi-faceted projects in conjunction with day-to-day activities; tactful; flexible. Ability to reason well and possess sound judgment, Physical requirements include sight, hearing, and standing for extended periods. Must be physically able to interact and participate in all Club functions. This is a part-time, non-exempt position. Hours are typically Monday through Friday, 9am to 2pm. Some evenings and weekends may be required. EDUCATION Minimum High school diploma or higher
